Part I
Parent Agreement
These terms apply to every family who books a place with Hobson Education, for both the morning Home Education Hub and the afternoon workshops. By paying an invoice, you agree to them.
Booking and trial sessions
Your child’s first session is a trial, charged at the standard rate for that class, with no obligation to continue.
If you would like to continue, we will invoice for the remaining sessions of the term. A place is only secured once that invoice is paid in full. Group sizes are capped, so places are allocated on a first-come, first-served basis.
A one-off registration fee is payable on joining the Home Education Hub, together with a termly charge for resources and workbooks. Current fees are set out on our fees page.
Payment terms
  • Fees are payable termly, in advance, by bank transfer.
  • Invoices are due within 7 days of issue, and in any case before the first session of term.
  • Places for the following term are offered first to enrolled families; unpaid places may then be released to the waiting list.
  • Where a child joins part-way through a term, fees are charged pro rata for the sessions remaining.
  • Siblings are invoiced separately so that each place is clearly accounted for.
Missed sessions
Because each place and tutor is held for your child whether or not they attend, sessions missed through illness, holidays or other absence cannot be refunded or credited.
Cancellation by you
  • To withdraw your child, please give written notice by email to office@hobsoneducation.com.
  • Notice given at least four weeks before the start of term: fees already paid for that term are refunded in full, less the registration fee. Notice given within four weeks of the start of term: 50% of that term’s fees are refunded, as the place will have been held and resources prepared.
  • Notice given once term has begun: fees for the current term are non-refundable, and no further invoices will be raised.
  • The registration fee and termly resources charge are non-refundable once materials have been issued.
Cancellation or changes by us
If we must cancel a session, for example through tutor illness or closure of the premises, we will tell you as early as we can and either offer a replacement session or credit the missed session against the following term’s invoice.
In the unlikely event that a workshop is withdrawn for the term, any fees paid for sessions not yet delivered will be refunded in full.
Drop-off, collection and conduct
Sign-in opens five minutes before each session, and children are signed out only to a named adult agreed in advance. Please let us know by email of any change to who is collecting.
We ask every family to support a calm, kind and respectful room. Where a child’s behaviour repeatedly affects the safety or learning of others, we will first talk with you; in rare cases we may ask for a place to be withdrawn, and any fees for undelivered sessions would be refunded.
Medical information and consent
Parents must tell us of any allergies, medical conditions or learning needs before a child’s first session, and keep us informed of changes. Workshops that involve tasting or handling plants require a completed allergy and dietary form before week one.
Part II
Privacy Notice
This notice sets out our approach to the personal information we gather when you use our website or get in touch with us.
What information do we collect about you?
To support each child's progress, Hobson Education holds certain personal records for our families. Depending on your circumstances, this can include:
  • Contact and identifying details, such as a home address, email, date of birth and emergency contacts.
  • Academic records, such as school reports and past assessment results.
  • Health information relevant to a child's care, including allergies, illnesses or medical conditions.
  • Billing details connected with fees paid to us.
How do we collect this information?
Most of what we hold comes straight from our families: through online enquiry forms, emails, phone calls, or paper forms completed in person. In addition, our tutors gather classwork samples and progress notes as part of everyday sessions.
How will we process your personal information?
By “processing,” we mean anything done with your information — collecting it, holding it, or using it in any way. We use your details, and your child's, to enrol them onto a course, look after their wellbeing during sessions, run our business day to day, and meet our legal responsibilities.
Where you've given us permission, we may also send occasional emails about other offerings we think would be useful to you.
Do we share personal information?
Access to your details is limited to those who genuinely need it. Your child's tutor, for example, will see their name, emergency contacts, and any relevant learning or health notes, so they can tailor lessons appropriately and act quickly should a medical situation arise.
Should there be a genuine need to pass information to another organisation, we'll ask for your agreement first.
We do not pass personal information to outside companies for their own marketing purposes.
Where do we keep your information?
Records are kept securely, whether digitally on our Google Drive and staff devices, or as paper files at our premises. Only staff who have agreed to our Data Protection Policy can access them.
We keep this information safely until your child reaches 18, or sooner if you ask us to remove it.
Complaints — Information Commissioner's Office
If you're unhappy with how we've handled your personal data, you're entitled to raise it with the Information Commissioner's Office. Their helpline number is below, or you can visit their website:
